We specialise in digital transformation, intelligent contract systems, ERP deployment, and AI-integrated enterprise software for clients in the construction, telecom, energy, and service sectors.

This Privacy Policy explains how we collect, use, store, and protect personal and professional information that you provide to us — whether through this website, by email, or in the course of engaging our services. It applies to individuals who contact us, prospective and current clients, platform users, and professionals who interact with our team across any of our offices.

Given the commercially sensitive nature of contract and project data that flows through our platforms, we treat the handling of all information with the same rigour we apply to the engineering work itself.

2. Information We Collect

We collect information in the following categories depending on how you interact with us:

• Contact and identification information. When you submit an enquiry, request a consultation, or correspond with our team, we collect your name, job title, organisation, email address, and telephone number.
• Project and engagement information. In the course of delivering contracted services, we may hold project names, contract documentation, programme details, correspondence records, and other commercially sensitive information that you share with us in confidence.
• Platform and product data. Where your organisation subscribes to a software platform we build and operate, we process the records, documents, and workflow data your organisation uploads to the platform — strictly as a processor acting on your organisation's instructions, under the terms of the applicable subscription agreement.
• Website and technical information. When you visit this website, we collect limited technical data including browser type, approximate geographic region, pages visited, and time spent on site. This is collected in aggregate and is not linked to your personal identity unless you have separately provided it to us.
• Professional background information. For individuals who apply to work with CTS, we may collect CV details, professional credentials, and references.

3. How We Use Your Information

We use the information we hold for the following purposes:

• Responding promptly and accurately to your enquiries and consultation requests.
• Scoping, delivering, and supporting contracted engagements and product subscriptions, including implementation, integration, training, and technical support.
• Maintaining engagement and subscription records required under our contractual, professional, and legal obligations.
• Sending you relevant updates from CTS — where you have indicated an interest in receiving such communications and subject to your right to withdraw consent at any time.
• Improving our website, products, and internal processes, using anonymised or aggregated information where possible.
• Complying with legal, regulatory, and professional obligations applicable in the jurisdictions where CTS operates.

We do not use personal information for automated decision-making or profiling. Client data processed within CTS products is never used to train machine-learning models without the client's explicit written consent.

Where applicable data protection legislation — including India's Digital Personal Data Protection Act, 2023, the EU GDPR, and equivalent laws in the jurisdictions where we operate — requires us to identify a legal basis for processing, we rely on the following:

• Contractual necessity — processing required to perform the services or product subscriptions you have engaged us to provide, or to take steps prior to entering an engagement at your request.
• Legitimate interests — processing necessary for our legitimate business interests as a technology company, including responding to enquiries, maintaining client relationships, and developing our products, where those interests are not overridden by your rights.
• Legal obligation — processing required to comply with applicable law or regulatory requirements in India, Qatar, Saudi Arabia, the UAE, or the United States.
• Consent — for specific processing activities such as marketing communications, where we rely on your freely given and withdrawable consent.

5. Sharing of Information

CTS does not sell, rent, or trade personal or professional information to third parties. We share information only in the following limited circumstances:

• Affiliated CALIM offices and group entities. Your information may be accessed by CALIM teams based in Kochi, Doha, Al Khobar, Bengaluru, or Haines City where required to service your engagement or respond to your enquiry. All CALIM personnel are subject to the same confidentiality obligations.
• Appointed specialists and sub-contractors. Where we engage specialist support as part of a contracted engagement, we share only the information necessary for that purpose and under strict confidentiality terms.
• Regulatory and legal authorities. We may disclose information where required by law, court order, or the direction of a competent regulatory authority in the jurisdictions where we operate.
• Technology providers. We use a limited number of trusted third-party providers (for example, cloud hosting and secure email infrastructure). These providers act on our instructions and are contractually prohibited from using your information for their own purposes.

In every case where information is shared, we apply appropriate contractual protections and disclose only what is strictly necessary for the stated purpose.

6. Data Security

We implement industry-standard technical and organisational measures to protect the information we hold against unauthorised access, loss, alteration, or disclosure. These measures include:

• Encryption of data in transit and at rest for sensitive engagement and platform data.
• Role-based access controls ensuring that personnel can only access information relevant to their specific responsibilities.
• Secure development practices, CI/CD pipeline controls, and environment isolation across our engineering infrastructure.
• Audit-trail capabilities within platforms we deliver, where applicable, providing tamper-evident records of platform activity.

7. Data Retention

We retain personal and professional information only for as long as is necessary to fulfil the purpose for which it was collected, or as required by applicable law and contractual obligations.

• Enquiries and pre-engagement correspondence that do not result in a contracted engagement are retained for a reasonable period to allow us to respond to any follow-up questions before being securely deleted.
• Engagement and subscription records are retained for a period consistent with our contractual obligations and the limitation periods applicable in the relevant jurisdiction.
• Platform data belonging to subscribing organisations is retained and deleted in accordance with the applicable subscription agreement, including on termination.
• Where you have consented to receive communications from us, we retain your contact details for this purpose until you withdraw your consent.

8. International Transfers of Information

CTS operates from offices in India, Qatar, Saudi Arabia, and the United States, and serves clients across the wider GCC including the UAE. In the ordinary course of servicing client engagements, information may be accessed by or transferred between these offices.

Where information is transferred internationally, we ensure that appropriate safeguards are in place — including internal data handling policies binding all CALIM personnel and, where required, contractual protections consistent with the data protection requirements of the transferring jurisdiction.

9. Cookies

Our website uses a minimal set of cookies:

• Strictly necessary cookies — required for the website to function correctly, such as session management and remembering your cookie preference. These cannot be disabled without affecting how the site operates.

We do not currently run analytics or measurement cookies of any kind. Should that change, this policy and our cookie notice will be updated before any such cookie is set.

CTS's services and products are directed exclusively at business professionals and organisations. Our work is not directed at, and we do not knowingly collect personal information from, individuals under the age of 18. If you believe we have inadvertently received information from a person under 18, please notify us promptly and we will take immediate steps to delete it.
